1. Route decision
- Keep the written project description used to decide the building-control route.
- Record who advised on the notice type and the official material consulted.
- Save any correspondence with the Building Control Authority about the route.
2. People and accepted roles
- Keep the owner’s BCMS details and the project reference.
- File assignments, acceptances and undertakings for the roles that apply.
- Use names and registration details exactly as they appear in submitted records.
3. Submitted document set
- Retain the signed notice and a schedule of plans, calculations, specifications and particulars.
- Keep the online assessment record and any preliminary inspection plan where required.
- Freeze a copy of the submitted set so later design revisions do not overwrite it.
4. Validation and later changes
- Save the authority’s validation, information request or revision message.
- Link each response to the exact question and revised document supplied.
- Record later personnel or design changes through the applicable official process rather than editing the private file alone.
